Invite colleagues to your workspace
Want a colleague to help you record, run and fix tests? Invite them to your workspace. Once they join, you both work on the same tests, modules, batches, gateways and test results — there's nothing to export or share item by item.
Create an invite link
- Open Configurations from the navigation menu and select the Workspaces tab (go there directly). You can also get there from the profile menu in the top right corner → Manage workspaces.
- Find the card of your active workspace — the one with the green check mark. The invite button is only on this card, so to invite someone to a different workspace, first switch to it with the Switch to this workspace button on its card.
- Click the Invite collaborators button (the person icon with a plus sign) on the card.
- AIVA creates an invite link for the workspace. Click Copy link and send it to your colleague — by email, in a chat, however you usually talk.
The link is valid for 7 days. It isn't single-use: anyone who has it can join the workspace until it expires, so you can send the same link to several colleagues — and you should only send it to people you want in the workspace. If a link has expired, create a new one the same way.
What your colleague does
- Your colleague opens the link.
- They sign in to AIVA, or create an account if they don't have one yet. Even if they're already signed in, they're asked to sign in once more, so the invitation is accepted with the account they choose.
- AIVA shows the invitation with your workspace's name. They click Accept Invitation.
- Your workspace becomes their active workspace, and they can start working right away. Their other workspaces stay available in Configurations → Workspaces.
If your colleague is already a member of the workspace, AIVA simply switches them to it. If they see Invalid invitation, send them a new link and ask them to close any other AIVA browser tabs before they open it.
What members can do
Everyone in a workspace has the same access — there are no roles or permission levels. As the invite dialog says, people with the link get full access and control of the workspace: a colleague who joins can create, edit, run and delete tests, modules, batches and gateways, see all test results, invite more people, and even rename or delete the workspace. Invite only people you'd trust with all of it.
The members of a workspace appear as avatars on its card in Configurations → Workspaces; hover over one to see the person's name and email.
A member who no longer needs access can leave: on the workspace's card, open the More actions menu (…) and select Leave workspace. You can't leave your active workspace, so switch to another one first. The others keep their access and can invite you back later.
Why is the Invite collaborators button greyed out?
If the button is greyed out and its tooltip says Invitations are not available for your workspace, inviting colleagues isn't switched on for this workspace. Whether it is depends on the workspace's subscription plan. If you need to work with colleagues in this workspace, contact us at [email protected] or through the feedback button in AIVA, and we'll help you out.
